Here are some FAQs specific to Dickinson users and those who have not yet used it:

 

Converting your References from EndNote

RefWorks has a feature that will allow you to upload your EndNote version 8 library directly into RefWorks. All other versions of EndNote will require you to export the records from EndNote and import them into RefWorks (see instructions at the end of this section).

EndNote 8 or higher only:

  1. Go into RefWorks and from the References menu select Import EndNote V8 Database.
  2. Browse for and select your EndNote library (.enl). Note: Currently there is a 25 MB import limit on the size your EndNote library.
  3. Specify a folder to import your records into (optional).
  4. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete.
    Your records should automatically appear in the Last Imported folder.

EndNote Version 7 or lower only:

Note: When importing large amounts of references, it is recommended to import no more than 2500 records (or 3MB of files) at a single time. This will ensure a successful import.

  1. From EndNote, select the correct Output Style for the export. Under the Edit menu select Output Styles.
  2. From the list of output styles select RefMan (RIS) Export select it. Note: If you do not see this format, open the Style Manager and check the RefMan format. Close the Style Manager and repeat steps 1 and 2.
  3. Select the references you want to export.
  4. Under the Reference menu select Show Selected (or Show All if you wish to export the entire database).
  5. Under the File menu select Export.
  6. A dialog box appears for you to select the location where you want to save the file. Type a file name and select a location for importing into RefWorks. Select Text as your Save As type and click Save.
  7. Go into RefWorks and from the References menu select Import.
  8. Select Desktop Biblio. Mgt. Software as your Import Filter and EndNote (Ref Man RIS Format) as your Database. Make sure you select the appropriate Mac or Windows version.
  9. Browse for and select the file you just created from EndNote.
  10. Click on Import at the bottom of the Import window. The progress in importing is measured by * for each reference imported. RefWorks will notify you when the import is complete. View the Imported References.
  11. Your records should automatically appear in the Last Imported folder.

 

 

How can I access RefWorks from an off-campus computer?

  1. Go to the RefWorks home page.
  2. Enter your Dickinson Webmail (alpha) username and password or your Dickinson network username and password and log in.
  3. Enter your usual RefWorks Login-ID and Password.

 

 

Can I export references directly from online databases to my RefWorks account?

Yes. Many databases allow results of your searches to be exported directly to RefWorks, so you don’t have to download or e-mail them. Look for the "Export" options in each database as you view individual articles or when you mark records to save. How do I export references from Google Scholar?

Beside the Google Scholar search box, click "Scholar Preferences" and scroll to the "Bibliograpy Manager" at the bottom of the page. Then select "Show links to import citations into", choose Refworks from the drop-down menu, and save your preferences. You will now see a link labelled "Import into RefWorks" under each citation you retrieve in Google Scholar.

 

 

What do I do if I'm exporting from an OCLC FirstSearch Database and nothing happens?

If you use Firefox as your browser and nothing happens when you attempt to export a reference from an OCLC FirstSearch database, it may be due to your pop-up settings. Under the “Tools” menu, select “Options” and “Content”. Click on “Exceptions” and insert these URLs into the address box:

Finally, click “Allow” and then “Close”. You should now be able to export references.

 

Can I import catalog records?

Yes, but not directly from the catalog (tricky, huh?).

  1. In order to import catalog records, you actually need to go into your RefWorks account.
  2. From there, you need to go to the “Search” option on the menu bar and use its drop down menu to get to “Online Catalog or Database”.
  3. On the next screen, use the drop down menu to select “Dickinson College Library”
  4. Then do either a quick search or an advanced search for a particular title, or topic, of interest.
  5. Select any titles that look relevant and then click the red import button.
  6. These records will now be located in your account.

 

How do I export citations from PubMed into RefWorks?

  1. While viewing the record(s) you want to save, click on the "Send to" link (just below the Search button).
  2. Click on “File”.
  3. Select the Format "MEDLINE" from the pull-down menu.
  4. Click the Create File Button.
  5. A popup should appear inviting you to save the file. Click “Save file” and put it on your desktop or in a temporary folder. You can rename the file, but it must have a .txt extension.
  6. Login to RefWorks. Select "Import" from the Reference menu and choose "NLM PubMed" from the "Import Filter/Data Source" pull-down menu and "PubMed" from the "Database" pull-down menus. 
  7. "Browse" to the .txt file you saved and select it.  Click the "Import" button. The records, including abstracts, should import smoothly into RefWorks.

NOTE: Once in RefWorks, the GetIt button will appear for citations imported from PubMed. You will also see special “pubmed links” above the citation in record that link the record back to the PubMed database, including the ability to find related articles without returning to PubMed.

 

 

How do I export citations from Web of Science/Web of Knowledge into RefWorks?

  1. Select any records of interest and click the "Add to Marked List" button
  2. When you have finished selecting and adding records, click the "Marked List" hyperlink
  3. On the following page: In step 1, you can either leave the fields included alone, or add additional fields. In step 2, you will want to leave the format as "field tagged" and click the "save to file" button.
  4. You can either open and then save this file, or save it on your computer.
  5. In your RefWorks account, go to the "References" tab and select "Import"
  6. Select the Import Filter Data Source "Thompson Reuters" and select the Database Web of Science or Web of Knowledge. Click the "Browse" button beside "Import Data from the following Text File" and find the file you just saved. Then click "Import".
  7. On the next screen, click "View last imported folder" to confirm that your records are now in RefWorks.

 

 

How do I export citations from POPLINE into RefWorks?

  1. After completing your POPLINE search, select the "Checkbox Display" from the drop down menu in the upper left corner of your screen.
  2. Check the records you want to import and click the "Submit" button.
  3. If you want to import all the records from your search, select "FullRec-ShortLabels" from the menu to display the records in the correct format.
  4. Copy and paste the records into Notepad.   Since POPLINE only displays 100 records at a time, if your search returns more than 100 records, you will have to click on the "Next 100 records" button. Once they display, copy and paste them into your Notepad document. Repeat as needed.
  5. When you have copied all of the records into Notepad, save the file (with a .txt extension) and close it.
  6. In RefWorks, select "import" and choose Popline at the Import Filter/Data Source and the Database from the pull-down menus. "Browse" to the Notepad file you saved and select it. The records, including abstracts, should import smoothly into RefWorks.

NOTE: Once in RefWorks, the GetIt button will appear for citations imported from POPLINE.

How do I export citations from AnthroSource into RefWorks?

  1. After completing your AnthroSource search, select an article that interests you.
  2. From the abstract screen of the article, select “HTML Version and More Information”
  3. This will take you to the article hosted on the publisher (Wiley InterScience) website. Select “Download Citation” and choose:

    Format = Plain Text
    Export Type = Citation
    File Type = PC

  4. Save the file as a plain text file on your desktop and note the file name.
  5. Open the RefWorks program and select “References” at the top left and then “Import”
  6. For “Import Filter/Data Source” choose “Wiley InterScience”
  7. The “Database” field should default to Wiley InterScience. Leave it alone. Choose which folder you want the reference to be sent to with “Import References into Folder”.
  8. Choose “Import Data From the Following Text File” and use the Browse button to locate the text file you previously saved to your desktop.
  9. Hit “Import”

 

 

I’m working on a group project. Can we share a RefWorks account?

Yes. RefWorks does not limit the number of accounts you create. Every account can have two types of access – full and read-only. Full access requires everyone to log in with the same login name and password. Read-only requries users to log in with the login name and a read-only password that has been established. Read-only access allows people to search, export and print bibliographies, but not add, edit or delete references. In addition, each record in a database has five empty fields (User Defined 1 thru 5) that can be used to record comments from group members.

 

 

What is Write-N-Cite and what does it do?

Write-n-Cite is a feature which allows you to access your references in RefWorks while working within Microsoft Word. Write-n-Cite allows you to insert citation placeholders and when you are ready to add a bibliography to the end of the document, Write-n-Cite will create a bibliography and format your in-text citations based upon only those references that have been inserted into your Word document.

Note: If you are using Write-n-Cite from off campus, you will need to activate the "WNC Proxy Configuration Utility". After downloading Write-n-Cite, just click "Start", and in the "Programs" menu, locate "RefWorks", and then click on the "WNC Proxy Configuation Utility". In the window that pops up, enter this URL and click "OK":

Can I print an unformatted list of my references so that I can see the abstracts and notes?

Under “View”, display the contents of a particular folder or all of your references.  Then, in the drop-down menu beside the selected folder's title or “All References” (depending on what you chose), select “Full View” and, from your web browser's “File” menu,  print the screen. 

 

 

What happens when I graduate or if I leave Dickinson?

Every June, the RefWorks accounts of students who have graduated will be deleted. However, you can save or export your RefWorks citations so that they can then be imported into another RefWorks account or into another bibliographic software application, such as Zotero.

Saving Your References to a File:

You can also export your reference data in several formats using one of RefWorks Export options. If you attend Graduate school and your new institution has a RefWorks subscription you can import this file into your new account.

  1. From either the "Tools" or the "References" menu select "Backup/Restore".
  2. By default, "Include References" is selected.  If you do not want to include your references, deselect this option.
  3. By default, "Include RSS Feeds" is selected.  If you do not want to include your RSS Feeds, deselect this option.
  4. By default, all custom "Output Styles" are selected to backup.  You can deselect any or all custom output styles.
  5. Click on "Perform Backup".
  6. Save the file when prompted.  If you are not prompted to save the file, click the link that says "Click here to save your backup file" to download the backup to your computer.

The default file name is a combination of your organization’s Group Code and your login name.  It will be saved as a .zip or .rwb file.  Please do not change the extension of the file as it is necessary to restore if you need to do so later.

Note:  You cannot open the backup file.  Should you want a viewable copy of your references, use the Export option and save your references as a text file. You will also be able to import this list into a new account if you choose.

Saving Your References to Zotero:

Zotero is a freely available bibliographic software application that works with the Firefox browser and is compatible with RefWorks. You can learn more about it and download it here:

You can export your RefWorks citations into Zotero by following these instructions:

Log into RefWorks. Choose the "References" menu tab and select "Export". When the Export format window appears, choose the radio button for "All References". Then, make sure the first button, "Bibliographic Software(Endnote, etc.)" is selected and click "Export to Text File". From your browser's File menu, save the page that has appeared as plain text (.txt).

Open Zotero. From the drop-down menu under the "Actions" icon (the 2nd one from the left) choose "Import", and select the previously saved file. Your references will be added to a new "Imported" folder in Zotero.
